Content Manager – Set Up

When first using Content Manager you may find these tips useful to set you up or when using Content Manager for the first time from a new machine.

Content Manager is in your Applications Window when onsite.

If working from home, type Content Manager into the start menu of your Citrix desktop.

Double click the icon to launch. The first time you do this the program will be installed on your machine and may take a minute before opening.

  • Open Dataset - Default is EXECONE*
  • Work Offline

  • Options - Configure CM to suit your preferences
  • Desktop Add-Ins - Integrate Content Manager with desktop applications
  • Profile
  • View Rights
  • Setup Information

    * We have two Datasets
    EXECONE” for production
    "SCHNTRAIN" for training

Global Settings

Global Settings allow all staff have a standardised SCHN tab on their ribbon.

  1. Click File icon
  2. Click Options
  3. Click Get Global
  4. Click Ribbon and Frame settings
  5. Click OK

Microsoft Add-Ins

Use Content Manager within Microsoft by enabling integration with desktop applications Word, Excel, PowerPoint, Outlook
 

  1. Make sure Microsoft programs are closed.
  2. Open Content Manager and select Desktop Add-Ins from the ‘File’ drop-down menu found on far left side of the ribbon (next to ‘HOME’ tab).

  3. Make sure the boxes are checked.
  4. Next click on Test wait for a chime noise then OK

Next go to the Microsoft applications you've integrated

Outlook

  • Outlook inbox will now have a “Content Manager” tab on the ribbon

  • An opened Outlook message (either inbox or sent has a smaller “Content Manager” tab

Word, Excel, PowerPoint

Content Manager Add-In will appear under its own ”Content Manager” tab on the ribbon

If you do not see the Content Manager tabs within in any Microsoft Program
File > Options > Add-Ins in the Microsoft program
Make sure the box next to "Content Manager Add-in for X" is checked and select OK

Customisations

Ribbon

Add more commands to your profile to easily access your frequently used action commands.

  1. Right-click > Customize Ribbon
  2. Select toolbars as needed.

If you find your icons too small, you can make them larger.

  1. Right-click > Customize Ribbon
  2. Next go to the Toolbars tab
  3. Check boxShow all the icons on the ribbon always large

Icon size

Columns

  1. Right-click on the column area
  2. Select Format Columns
  3. Choose which columns you would like from Available Columns and then Add
    Column preferences
  4. Change the order by dragging the displayed column or using the Up and Down buttons
  5. Click OK when finished

View Pane

View pane fields are displayed for the record type of the item you have highlighted. If you would like to see the same fields for each record type you use, you can customise several at once.

  1. Right-click on the View Pane area
  2. Select Customize or Customize (Multiple) if you'd like to change more that one record type

  3. Select from the Available Fields and the Add

  4. Change the order by dragging the displayed field or using the Up and Down buttons
  5. Click OK when finished
